Refund and Billing Policy

1. Scope and acceptance

This Refund and Billing Policy (the "Policy") explains how Laneflow handles billing, renewals, cancellations and refunds for paid subscriptions to the Laneflow service (the "Service"). It forms part of, and should be read together with, our Terms of Service. By subscribing to the Service you accept this Policy.

2. Monthly billing and renewal

  • Subscriptions are charged monthly in advance per seat via Stripe.
  • Your billing period starts on the date you first subscribe and renews automatically on the same calendar day each month.
  • Each renewal is charged at the seat price in force at the time of renewal. Price changes are notified at least 30 days in advance.
  • Prices are exclusive of VAT and any other applicable taxes, which Stripe collects at checkout based on your billing location.
  • You authorise Laneflow and Stripe to charge your selected payment method for each successive renewal until you cancel.

3. No refunds for partial months

Subscription fees are charged in advance for a full monthly billing period and are non-refundable, in whole or in part, except where required by mandatory law or expressly provided in this Policy.

If you cancel mid-period, your access to the Service continues until the end of the period for which you have already paid, and no credit, pro-rated refund, or rollover is issued for the unused portion. This applies whether you cancelled, your seat count was reduced, or your account was suspended for breach of the Terms of Service.

4. EU / EEA / UK consumer right of withdrawal

If you are a consumer based in the European Union, the European Economic Area, or the United Kingdom, you have a statutory right to withdraw from a distance contract within 14 days of purchase, without giving any reason.

Laneflow is a digital service that begins immediately on subscription. By starting to use the Service (including authenticating, downloading the desktop application, or running any agent activity) before the 14-day period expires, you expressly consent to the immediate performance of the contract and acknowledge that you lose your right of withdrawal for the portion of the Service that has been delivered.

To exercise the right of withdrawal in cases where it has not been waived, send a clear statement to billing@laneflow.ai within the 14-day window stating your intention to withdraw, together with your account email and order reference.

5. How to cancel

  • You can cancel your subscription at any time through the billing portal accessible from your account settings.
  • After cancellation, your subscription remains active until the end of the current paid period. You will not be charged again at the next renewal date.
  • Cancellation does not delete your account or your data; you may continue to sign in to retrieve Customer Content during the wind-down window described in the Terms of Service.
  • If you wish to permanently delete your account or your personal data after cancellation, contact privacy@laneflow.ai as set out in the Privacy Policy.

6. Failed payments and suspension

  • If a renewal payment fails, Stripe will retry the charge automatically and notify you by email.
  • If the payment remains unresolved after a 7-day grace period, your subscription will be suspended.
  • Repeated payment failures, or payment from a card flagged for fraud, may result in immediate suspension and cancellation without refund of any prior periods.

7. Chargebacks

Before initiating a chargeback with your card issuer, please contact billing@laneflow.ai so we can attempt to resolve any billing dispute directly. Most disputes can be resolved within 5 business days.

Initiating a chargeback without first contacting us, or in respect of charges that are valid under this Policy and the Terms of Service, may result in immediate suspension or termination of your account, recovery of associated chargeback fees, and referral of the matter to a debt-collection agency. Laneflow reserves the right to dispute any chargeback supported by the records of the Service.

8. Service credits and exceptional refunds

Refunds outside of this Policy are granted at Laneflow's sole discretion and only in exceptional circumstances, which may include: a billing error attributable to Laneflow, a prolonged service outage attributable to Laneflow that materially prevented use of the Service for an entire billing period, or any case where a refund is required by mandatory law.

Refund requests must be submitted in writing to billing@laneflow.ai within 30 days of the relevant charge, including your account email, the disputed charge, and a description of the issue. We will review and respond within 10 business days. Granted refunds are issued to the original payment method.

9. Third-party charges are not refundable

Laneflow does not resell or proxy any third-party service. Charges incurred by you on third-party services as a result of your use of the Service — including but not limited to AI model API usage, cloud hosting, deployment platforms, source-control hosts, or other infrastructure — are billed by those providers under their own terms and are not refundable by Laneflow under any circumstances. You should monitor and dispute such charges with the relevant provider directly.

10. Changes to this Policy

We may update this Policy from time to time. Material changes will be communicated by email or via an in-app notice at least 30 days before they take effect. Continued use of the Service after the effective date constitutes acceptance of the updated Policy.
